Who This Is For

Dental practices, medical and specialty practices, clinics, physical therapy and chiropractic offices, senior-living communities and home-health agencies across South Bend, Mishawaka, Granger, Elkhart, Goshen, Plymouth, Warsaw and the surrounding communities — usually one to five locations and 8 to 100 staff. Practices where the office manager has become the IT department, where the imaging computer in operatory three can't be updated because the sensor software won't allow it, where a HIPAA risk assessment is something the owner means to get to, and where a half-day outage means rescheduling forty patients.

The Problem: HIPAA Assumes Someone Is Minding the Store

Healthcare organizations rely on technology for scheduling, clinical documentation, imaging, billing and communication. When systems fail, patient care and revenue are both affected — immediately. And unlike most small businesses, a practice carries a regulatory obligation on top of the operational one: HIPAA's Security Rule expects an organization to know where its electronic PHI is, to have assessed the risks to it, to control who can reach it, to train the people who handle it, and to be able to prove all of that.

In the practices we take over, the technology usually works well enough day to day, and almost none of the obligations are being met. Shared front-desk logins. Email that isn't encrypted. A backup that runs but has never been restored. No risk assessment, or one from the year the practice opened. Vendors with remote access and no Business Associate Agreement. None of it is anyone's fault — it's what happens when nobody's job is to mind it. Healthcare also remains one of the most-targeted industries for ransomware, precisely because practices can't function without their systems and hold data worth stealing.

What We Do for Practices

HIPAA compliance support

Annual risk assessment, written policies and procedures, access controls and audit logging, staff training with records, Business Associate Agreements with every vendor that touches PHI, and breach-response readiness. Details: HIPAA compliance support for Northern Indiana practices.

EHR and practice-system uptime

The infrastructure under Dentrix, Eaglesoft, Open Dental, your medical EHR and your imaging systems kept reliable and fast through patient hours — with vendor issues owned by us, not bounced to you.

Cybersecurity for PHI

Layered protection for endpoints, email and the network: MFA everywhere, endpoint detection and response, encrypted devices, phishing defenses, and the segmentation that keeps a compromised laptop from reaching the server.

Secure email and messaging

Encrypted email for anything containing PHI, secure patient communication, and the Microsoft 365 configuration — retention, data-loss prevention, device management — a practice actually needs. See Microsoft 365 management.

Backup and ransomware recovery

Immutable backups of the practice system, imaging and documents, restore tests on a schedule, and a written recovery plan that says how long you'd be down and has been rehearsed. See backup and disaster recovery.

Multi-site and remote access

Clinicians and staff reach the practice system securely from any office, from home for billing and charting, and from mobile devices — with MFA and device controls so convenience doesn't become exposure.

New-office build-outs

Cabling, WiFi, network, cameras, door access and the technology closet, coordinated with your contractor from the plans stage so you open on time. See infrastructure services.

Help desk that fits a clinic

A person answers during business hours. Most problems are fixed remotely in the same call. Hardware failures get a same-day visit. Maintenance happens when patients aren't in the chair.

What's Included

  • Business Associate Agreement signed before we touch anything
  • HIPAA risk assessment at onboarding and annually, with a prioritized remediation plan
  • 24/7 monitoring of servers, workstations, network and backups
  • Unlimited help desk, remote and same-day on-site
  • Security stack — email protection, EDR, MFA, encryption, security-awareness training with records
  • Immutable backups with scheduled restore tests and a written recovery plan
  • Access management — named logins, least privilege, prompt offboarding when you notify us, periodic access reviews
  • Vendor management — EHR, imaging, clearinghouse, phone and answering-service vendors handled by us, with BAAs tracked
  • Quarterly review — what failed, what's aging, what HIPAA items are due

How We Start

  1. BAA and discovery. We sign the agreement, then walk every operatory, exam room and office to inventory what holds or reaches PHI.
  2. Risk assessment. Where PHI lives, who can get to it, how it's protected, what would happen if it were lost — written for an owner, not an auditor.
  3. Close the dangerous gaps first. Backups you can restore, MFA, shared logins eliminated, exposed remote access closed — usually within the first two weeks, outside patient hours.
  4. Harden and document. Policies, training, encryption, device management, vendor BAAs — in order of risk.
  5. Operate. Monitoring, help desk, maintenance outside clinic hours, and the annual assessment cycle so compliance stays current instead of being rediscovered every few years.

Pricing

Healthcare managed IT is a fixed monthly fee based on users and devices, including monitoring, help desk, security, backup and the ongoing HIPAA work. The initial risk assessment and any remediation project — a network rebuild, an email migration, a new-office build-out — are quoted as fixed prices with the scope in writing. Hourly work follows our published rates.
